How to Prepare a Packing List

A clear packing list helps identify every piece in an international shipment.

Identify the shipment

List the shipper and consignee, destination, reference number and date. Use names and addresses that match the other shipping documents.

Describe every package

Number each carton, crate or pallet. Record its contents, packed dimensions, gross weight and any marks. If packages contain different items, describe those differences instead of writing one vague line for the entire shipment.

Reconcile the totals

Add the total number of pieces, weight and volume. Check that the packing list agrees with the commercial invoice, quote and actual labels before collection.
